Logistic Coordinator Assistant at Medecins Sans Frontieres (MSF) – Switzerland
Medecins Sans Frontieres (MSF) is an independent international medical humanitarian organisation that delivers emergency aid in more than 60 countries to people affected by armed conflict, epidemics, natural or man-made disasters or exclusion from healthcare.
We are recruiting to fill the position below:
Job Title: Logistic Coordinator Assistant ( Logco Assistant)
Location: Maiduguri, Borno
Type of Contract: 6 months fixed term
Scope of Responsibilities and Accountabilities
- Assisting the Logistics Coordinator in specific activities and assuming some delegated tasks, according to his/her instructions and MSF standards and protocols, in order to ensure a proper logistics management in the capital and providing support to logistic activities in the projects
- Planning and supervising the logistics within the coordination base (repairs, equipment maintenance, stock management, cleanliness…), in order to ensure the best operational working conditions in the capital.
- Supporting the Logistics Coordinator and/or the Mission Supply Chain Manager in organizing the ordering and transport of goods to the different projects, in order to comply with their needs in terms of quality and timelines
- Organizing and supervising the fleet of vehicles in the coordination base (driver’s schedules, vehicles maintenance, vehicles registration and insurance, fuel consumptions, etc.), in order to ensure coping with the transportation and movement needs.
- Assisting the Logistics Coordinator with the checkup and supervision of the proper functioning of the computers and other communication and IT equipment, in order to ensure a continuous and appropriate flow of information and communication.
- Ensuring repair and maintenance of generators and power back-up systems as well as cold chain equipment, water pumps and other technical equipment used or stocked in capital and informing the Logistic Coordinator in case of any further needs concerning technical equipment, in order to have everything running adequately
- Supporting the LogCo in the planning and ensuring an appropriate emergency preparedness and response capacity (stocks, contacts, transport means, staff training), and participating in any emergency activity or exploratory visit, in order to ensure giving appropriate assistance to the population.
- Informing the Logistics Coordinator in case of any major issue and draws-up all required reporting, in order to keep updated and reliable information that will ease decision-making
- Supporting the LogCo in the planning and ensuring an appropriate emergency preparedness and response capacity (stocks, contacts, transport means, staff training), and participating in any emergency activity or exploratory visit, in order to ensure giving appropriate assistance to the population.
- Manage directly the logistics supervisor of MAIDUGURI. Train him/her and delegate to a point that the logistics supervisor in MDG is independent in all his/her activates.
- Manage directly the logistics Supervisor in Abuja, train him/her to a point where the logistics supervisor in Abuja is independent in all his/her activates.
- Informing the Logistics Coordinator in case of any major issue and draws-up all required reporting, in order to keep updated and reliable information that will ease decision-making
- Accompany logistics coordinator in each field visit to ensure the sustainability of logistics procedure with the logistics staff from the field is will understood and followed.
- Represent logistics coordinator in the meetings and fill his/her gap anytime during his/her absence.
- Assist the logistics coordinator in the implementation of safety and security in the entire mission. Assist in risk analysis, transfer of information to the team and movement tracking.
- Assist the update of mission Marmota on monthly bases.
- Assist on the monthly, midyear and annual reporting via contribution and feedback.
- Assist logistics coordinator in analysis of fuel consumption and propose new cost efficient methods.
- Assist logistics coordinator in organizing an explo mission, emergency mission and massive distribution.
- Accompany the logistics coordinator in meeting with the Authorities to facilitate the negotiations.
- Filling gap of logistics team member in the project if requires.
- Organize different technical training to the logistics staff (drivers, Guards, radio operators) in each location.
- Assist the logistics coordinator during the POA period, in planning, budgets for running costs.
- Make priorities for improving all the standards recommended by on the logistics fundamentals.
- Support logistics coordinator in recruitment of logistics staff.
- Support logistics coordinator in finding specific cost reductions, cost sharing with other MSF sections or internal options.
Minimum Requirements
- Essential diploma in related field and formal technical training.
- Essential MSF working experience of at least two years in related position
- Essential computer literacy (word, excel and internet)
- Commitment, Flexibility, Stress Management, Results, Teamwork, Service
